Prop firm CRM: what it does and how to choose one

In short

A prop firm CRM sells challenges, creates trading accounts, tracks each trader against your rules and handles rewards. You can get one bundled with your trading platform, buy a standalone CRM, or take an all-in-one white label that includes the platform and charges a revenue share. Each route trades speed against control.

What a prop firm CRM does

The trading platform is where traders trade. The CRM is where your business runs. A typical prop firm CRM handles:

  • Selling challenges. Account sizes, prices, discount codes and checkout, connected to your payment providers.
  • Creating accounts. When a trader pays, the CRM opens an account on your platform with the right phase settings.
  • Tracking rules. It checks each account against your profit target, daily loss limit and drawdown, then passes, fails or promotes it.
  • Identity checks. It connects to your KYC provider before a funded account or a first reward.
  • Rewards. It records reward requests, checks eligibility and keeps the history.
  • Affiliates and leaderboards. Many CRMs include affiliate tracking, promo codes and public leaderboards.

As one example of scope, the Brokeret Prop CRM pricing page lists automatic drawdown rules, violation handling, unlimited phases, instant funding, a multi-level affiliate area, leaderboards, KYC and compliance tools and trading platform integration. It also lists detection rules for copy trading and hedged trades. Use lists like this as a checklist, not a recommendation.

Three ways to get one

Bundled with the platform

Some platforms sell a CRM with the platform. Match-Trader's Turnkey White Label includes a full CRM with challenge configuration, competitions, promo codes and an affiliate module. Match-Trade says its prop CRM can manage traders on Match-Trader, MT5 or both. See the Match-Trader page for detail.

Standalone

A standalone CRM connects to a platform you license separately, such as TradeLocker, cTrader or DXtrade. You choose each piece, and you can replace one without replacing the other. The cost is integration work and one more vendor to manage. Check how many platform integrations are included, since some CRMs charge per extra platform.

All-in-one white label

An all-in-one white label bundles the platform, CRM, dashboards, risk engine, payments and KYC. PropAccount's pricing page, for example, describes a one-time setup fee with platform choices of MT5, cTrader or DXtrade, and a revenue share after launch instead of software subscriptions. Its White Label I pays the firm 30% of gross sales, with PropAccount carrying the rewards and running costs; White Label II pays the firm 50% of net revenue. It is the fastest route to launch. The trade-off is that the provider shares your revenue for as long as you stay, and more of your business sits on someone else's system.

Strengths and trade-offs at a glance

  • Bundled: fewer vendors and one support desk, but your CRM choice is tied to your platform choice.
  • Standalone: more control and easier to swap parts, but more integration work up front.
  • All-in-one: lowest setup effort, but a lasting revenue share and the least control.

Whichever you choose, make sure you own your trader data and can export it.

Questions to ask a CRM vendor

  • Which platforms do you integrate with today, and is each integration live or planned?
  • Can every rule I publish be configured exactly as written, including consistency rules and trailing drawdown?
  • Which payment and KYC providers already connect?
  • How are reward requests approved, and what audit trail is kept?
  • For a revenue share: is it on gross or net revenue, and who carries the cost of rewards?
  • Can I export all trader, payment and trade data if I leave?

What it costs

A standalone prop firm CRM costs $840 to $3,000 a month, depending on scope and active accounts. Match-Trader's Turnkey plan, which bundles platform and CRM, is $4,000 a month. An all-in-one white label costs $2,749 to $3,000 to set up, and the provider keeps 50% to 70% of challenge revenue, depending on the model. The cost table on this page shows each source. Run the options through the launch cost calculator to see how a revenue share compares with a monthly fee as sales grow.
